Terms of Service

Effective Date: July 22, 2026·Last Updated: August 7, 2026

1. Acceptance of Terms

By creating an account on Village Toolkit or using any part of the service, you agree to be bound by these Terms of Service (“Terms”). If you do not agree, do not use Village Toolkit.

These Terms form a legally binding agreement between you and the operator of Village Toolkit, based in British Columbia, Canada.

2. Description of Service

Village Toolkit is a web-based administration platform designed for eco-villages, intentional communities, and similar organizations. Features include volunteer management, resident and household tracking, chore scheduling, event calendars, community policy management, and financial cash flow tracking.

Village Toolkit is currently in an early access / MVP phase. Features, availability, and pricing are subject to change.

3. Eligibility

You must be at least 18 years of age to use Village Toolkit. By creating an account, you represent that you meet this requirement and that the information you provide during registration is accurate and complete.

4. Accounts and Authentication

Village Toolkit uses email and password authentication. You are responsible for:

  • Keeping your password secure and confidential
  • All activity that occurs under your account
  • Notifying us promptly through our contact form if you suspect unauthorized access to your account

We are not liable for any loss or harm resulting from your failure to maintain the security of your account credentials.

5. Organizations and Administrator Responsibilities

Village Toolkit is structured around organizations — each representing a community using the platform. When a user creates an organization, they become the Super Administrator of that organization.

Organization administrators are responsible for:

  • All data entered into their organization's account, including personal information about residents, volunteers, and community members
  • Ensuring they have the appropriate consent or legal basis to enter personal information about other individuals into Village Toolkit
  • Managing user roles and permissions within their organization appropriately
  • Complying with applicable privacy laws in their jurisdiction in relation to the personal information they collect and process through the platform

Village Toolkit provides the tools; organization administrators are responsible for how those tools are used. With respect to the personal information your organization enters about community members, we act as a data processor on your instructions. We act as a controller for account, usage, and notification data, as described in our Privacy Policy. We are not responsible for the accuracy, legality, or appropriateness of the data your organization enters into the platform.

6. Acceptable Use

You agree not to use Village Toolkit to:

  • Upload or transmit content that is unlawful, harmful, defamatory, or fraudulent
  • Attempt to gain unauthorized access to other organizations' data or to Village Toolkit's systems
  • Interfere with or disrupt the performance or security of the platform
  • Use the platform in any way that violates applicable local, provincial, national, or international laws or regulations
  • Impersonate another person or organization

We reserve the right to suspend or terminate access for any user or organization that violates these terms.

7. Financial Features — Not Financial Advice

Village Toolkit includes cash flow tracking features that allow organizations to record income, expenses, and financial summaries for internal administrative purposes.

These features are tools for record-keeping only. Nothing in Village Toolkit constitutes financial, accounting, tax, investment, or legal advice. You should consult qualified professionals for advice specific to your organization's financial and legal situation.

We are not responsible for any financial decisions made based on information tracked in the platform.

8. Data Ownership

You and your organization retain ownership of all data you enter into Village Toolkit. We do not claim any rights over your community's data.

You grant us a limited licence to store, process, and display your data solely for the purpose of providing the Village Toolkit service to you.

Upon termination of your account, you may request deletion of your data as described in our Privacy Policy.

9. Availability and Changes to the Service

We will make reasonable efforts to keep Village Toolkit available and functional, but we do not guarantee uninterrupted availability. The service may be temporarily unavailable due to maintenance, updates, or circumstances outside our control.

We reserve the right to modify, suspend, or discontinue any part of Village Toolkit at any time. Where reasonably practicable, we will provide advance notice of significant changes. Continued use of the service after changes take effect constitutes acceptance of the updated Terms.

10. Intellectual Property

Village Toolkit and its underlying software, design, and content are owned by Village Toolkit and protected by applicable intellectual property laws. These Terms do not grant you any rights in Village Toolkit's software or branding.

11. Disclaimer of Warranties

Village Toolkit is provided “as is” and “as available” without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

We do not warrant that:

  • The service will be error-free or uninterrupted
  • Any errors or defects will be corrected
  • The service is free of viruses or other harmful components

12. Limitation of Liability

To the maximum extent permitted by applicable law, Village Toolkit and its operators, directors, employees, and affiliates shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising from your use of Village Toolkit, including but not limited to loss of data, loss of revenue, or business interruption.

Our total liability to you for any claim arising under these Terms shall not exceed the greater of (a) the amount you paid us for the service in the 12 months preceding the claim, or (b) CAD $100.

Nothing in these Terms limits liability that cannot be excluded under applicable law, including liability for fraud or gross negligence.

13. Indemnification

You agree to indemnify and hold harmless Village Toolkit and its operators from any claims, damages, losses, or expenses (including reasonable legal fees) arising from:

  • Your use of Village Toolkit in violation of these Terms
  • Data you or your organization enters into the platform
  • Your violation of any applicable law or the rights of a third party

14. Termination

You may stop using Village Toolkit at any time. You may delete your account at any time from within the app — go to Account settings and choose “Delete account” — or at villagetoolkit.com/account/delete. To delete an entire organization's account, contact us through our contact form.

We may suspend or terminate your access to Village Toolkit at any time if we reasonably believe you have violated these Terms or are using the service in a way that poses a risk to other users or the platform.

Upon termination, your right to use Village Toolkit ceases immediately. Provisions of these Terms that by their nature should survive termination — including limitations of liability, disclaimers, and governing law — will remain in effect.

15. Governing Law and Dispute Resolution

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein, without regard to conflict of law principles.

Any disputes arising from these Terms or your use of Village Toolkit shall be subject to the exclusive jurisdiction of the courts of British Columbia, Canada.

16. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the “Last Updated” date. If changes are material, we will make reasonable efforts to notify you. Continued use of Village Toolkit after updated Terms are posted constitutes your acceptance.
